Send out SAVE THE DATES for the dates of your upcoming meetings. These can be used to reserve time on calendars. Even if all of the pertinent details (meeting location, speaker, etc.) are not yet known the date can be saved and details can be sent at a later time.
Have a backup plan. Even with the best planning and organizing, there are cases when you might have a last minute cancellation with a speaker. Best to have a possible back up if that occurs. You may consider:

Guidance for Chapter Membership Directors, Webmasters, Newsletter Editors, Public Relations and Marketing Officers
Our culture has become enamored with social media. Most of us check in daily at one or more of these sites and get automatic updates about the activities of business associates as well as family and friends.
Our chapters can effectively use social media to promote our meetings and events. However, in order to make these efforts successful, we first need to enroll followers who may participate in our events or at least spread the word to associates. The first group of prospects is obvious, chapter members and uncommitted ARMA members in your area (099 listers).
Pushing beyond may be best accomplished by enlisting the aid of your chapter sponsors. They have lists of existing and potential clients and would benefit by posting on your social media site. Several chapters already have accomplished this. It is best to give the sponsors some guidance so your site does not become too commercial. Advise them to post items that have educational or human interest value and are not too salesy.
From our recent survey we found that LinkedIn is by far the most popular site for our chapters. Some also use Twitter and Facebook.
If you decide to advertise on more than one media site you should consider using the free software tool, Hootsuite or one of its competitors, Buffer, SocialOomph, SocialFlow, SproutSocial or Crowdbooster. This enables you to only compose one promotion and have it distributed to several sites to your followers. One more this to consider in the way of promotion.is the ARMA Listserv. It’a free, has a large audience and it easy to use. Sign up today if you haven’t already.
